Gear Chapters need to Bring:

All Chapters need to be prepared to carry their personal gear down to the site from the check in shelter.

Every chapter must tell the Lodge how many people they plan to have at conclave. If you do not give us an accurate number then there will not be enough food. Even if you are not sure you must give us a good guess.

Chapters are welcome to bring their own stove and chuck boxes, but need to let the lodge know.

Larger chapters will need more then one chuck box and stove. So large chapters should find what they can from troops in their area.

 

Conclave Plan:

The purpose is to help bring the OA back to its root of being the camping honor society of scouts. If we are telling our home troops to get out and camp then we need to set the example. We have many strong chapters but I feel through this program we can make all of our chapters stronger. We would be able to include the new members right away. I understand that this will be a big change from what has been done in the past, but change can be good if we give it a chance. My plan is to change the way we hold our conclave is as follows:

Camping area Overseen by: Josh Hone and Nathan Henkenius

The lodge would camp as one big group. We would camp in the old pioneering area.

We would use the rest rooms at Chamzio campsite, and the dinning hall.

The candidates would spend the night at the scout craft and pioneering area. Their day would not change any.

For those who wish to bring their pop-up trailers or camper, or who wish not to sleep near the youth they are still welcome to and as always they can stay at family camping.

Each Chapter would be provide cleaning supplies for the pots and pans the used to cook with. Plates could be tossed.

A checklist of what is in each box would be done before they were released and they would be checked back in at the end of the weekend.

Chapter Chiefs would have to sign the boxes in and out and will be held accountable for their chuck boxes.

Chapters will need to bring their own chairs and folding tables

Lodge Functions: Freddy Gross and Seth Hunter

We would function as lodge but cook, eat and sleep as chapters. This would help to promote brotherhood fellowship.

We would have a campfire Saturday night. It would be held in the center of our camp. We would have a real campfire and we could have the Grand Entry and Vigil tap held around that.

The fire would be no higher then three feet. We would have lots of water and tools on stand by. The fire would be kept inside of fire barrels. Before we had the fire we would have cleared all of the brush and weeds out of the way creating a safe area. A possible place would be in the arroyo. This creates a natural gathering area.

All of the Candidates would be assigned to groups with people from their hometown and chapter so that when they get out of the ceremony they can travel as a group to the feast. This is to help build stronger ties of brotherhood from the very start.

The feast would be held in the dinning hall as normal. At the end of dinner every one would head on down to the arroyo for the entrance of the grand chiefs and Vigil tap out.

Vigil breakfast will be held at the check in shelter

Check-in:

Check in would still be held in the dinning hall where we have power for the computers.

The Lodge will help light the camp area on Friday night as people arrive.

All gear must be carried down to the site.

Chuck boxes will all ready be on site

Hosting: Ute and Comanche

The host chapter would distribute the food for the chapters. Chapters would come up to the QMs or where we have the food and the host chapter would distribute the amount of uncooked food that a chapter needs based on registration and chapter guesses.

Host chapter can use the dinning hall for their walk in freezer and food preparation.

Three weeks before the event each chapter would have to tell the lodge how many people that they are planning on having so that they can have food set up for that many people even if it is just an estimate.

Stoves, gas and chuck boxes will be provide by CFR, all the chuck boxes would be checked in and out by Ford Carty.

We would use paper plates and plastic silver. Given out at each meal.

Each chapter needs to bring their own tents.

We would need to obtain or barrow more water jugs. If possible water buffalo. Trash cans could be borrowed from close campsites, and returned on Sunday. Trash would be taken out of camp before dark for safety reasons.

People

To do this we will need more help then we have had in the past. Most of all we will need more manpower to help get people to where they need to be, and transporting equipment and supplies.

We need people for check-in, down at the gate making sure how many cars are down at the site at any give time, people will need to be at the site to help direct help on where to go.

We will have to relay heavily on our committees and the people we put in charge of each job.

As of now we are planning on keeping the trading post at it current location because it is the only place that we can lock.

This is a onetime thing.

Every thing must be as we found it on Sunday.
